Forum thread: Emergency Evacuation Registration

Suggestion: Hi.  Is there any way for STEARsoft software to provide up-to-period data for emergency evacuation procedures within a school?  

Students go to their Advisor first thing in the morning to be registered.  Registration is done on a period by period basis.  If an evacuation was required, say Period 4, could an Advisor take their device to the assembly point and call up their own Advisory Group, to see who was still present and who may have signed out of the school premises?  We currently use BlackBaud for registration but it cannot do this.  We are going over to SIMS.

I understand that a master register can be created using your software.  That is not what I am looking for.  I need to know very specifically if STEARsoft can perform the above mentioned function. I would really appreciate a quick response.  :)

Thank you for your post.

1) There is a sign in/out feature in STEARsoft. If someone has signed out of school, this would appear on the emergency screen of absent students.
2) If someone signs in/out, a message also appears in the Advisor's attendance view to alert them to this
3) If someone has inconsistent attendance during the day (present to start with, then suddenly absent from a lesson) an automatic message appears in the Advisor's attendance sheet. This is intended to help prevent truanting from individual lessons, but might also be useful in your described situation.

If you would like any kind of trial beyond what is automatically available on the website to try STEARsoft out, do get back in touch.

Good Morning,

We had an issue this week with the registers during a Fire Drill:

A cover teacher had not completed the afternoon registration session and when the emergency evacuation list was printed, the box for that session was just empty. The cover teacher had not taught the class that morning and so did not know who was present/absent.

The piece of paper that prints out looks the same as for a class that has completed registration and there are no absences.

So the problem is that there is no way of telling the difference btw no absences and register not taken. Obviously, the ideal scenario is that the register is taken in a timely manner but had there been a real fire, rescue teams would have been expected to enter the burning building to locate "missing children" when in fact, they were ill and off school.

Is there any way around this?

Dear Emily,

Thank you so much for your post.  I agree that's very poor and apologise for having overlooked this. I'm surprised it's never been picked up before, but I'm glad you've picked up on this now.

The short-term work-around is to go via 'All School Data' and to print out the regular 'Attendance summary' screen instead.  This will show how many blank entries there are and therefore draw attention to any issue like this. Unfortunately the formatting isn't quite so printer-friendly and the page-breaks aren't arranged to be between year-groups, but it should be OK for a short-term work-around for an emergency.

In the mean time I will prioritise getting out an update that addresses this issue asap.  Because it is a fairly isolated part of the software I should be able to do this fairly quickly.

Dear Emily,

I have a better temporary solution:

Using a 'Power Teacher' account.
Go to the Settings Tab (within 'All School Data')

Set the Emergency page 'Attendance Summary' column as:    Show column
List students marked as                                   blank (no mark)
and having code                                           anything

Press the 'Update' button and check it works.

Reviewing this thread I notice that I never posted that this was properly fixed in a subsequent update.  The 'printout' page now has a bold WARNING! message and lists those students whose attendance has been left blank (not marked).
