Forum thread: Index number for telephone use

Suggestion: Hello,
Due to the fact that the index number appears next to the list of the names I used it as a handy data for the telephone numbers of the student in case of absence.
The strange think is that although in manual entry the number is not accepted as very long (10 digit) is accepted when i massively import student data (csv file).
Is it possible to be increased the available characters for the index number also for the manual entry?

Thank you for this post and suggestion.

I presume you are referring to the entry 'School Index'?

This is an error in the csv import tool which should restrict such entries.

The intention for school index is that it is a unique number that matches students across different class lists owned by different teachers.  This pulls together information for reporting.

Whilst this entry kind of works being used for other information, unfortunately it won't synchronise nicely to an iPhone unless it is a number within the limits given on the edit screen.

You could use the incident logging system to record contact phone numbers, but that would be very slow to have to do for each student.

This is not the first time such an issue has been raised (wanting to record extra details alongside a student), so I shall look to do this properly with a new entry.

Although I agree such an added entry space to do this properly would be good please note the following observation:
Contact information (like telephone numbers) can change and get out of date. Ideally this is planned for with a clear location for the most recent and correct data.  If this information starts appearing in more than one place, especially if it can be changed in more than one place things can become a mess after a few months or years.  If STEARsoft has a copy of such information you can use the 'Data control and locks' options to prevent changes being made by teachers. Updates should be made to your central master record and a process put in place to copy this change also into STEARsoft.  It might be that a printed list of phone numbers (or a .pdf file) regularly produced from the central records is actually the best practical longer term solution to keep the data tidy and centralised...

Thank you again for this post.  It has highlighted two improvements that I would like to make to STEARsoft.  It also showed the need for clarification, so thank you for the question more generally too.

Hi Marcus,

Of course the use of the "School Index" is obvious ;) but when someone needs some additional info, uses what is available. Also the phone number is unique (for brothers I've changed the first number which is the same for all) so it fulfils the purpose of both the index but also to a useful info always available!
An extra "free format" field for any use according to needs will be welcomed.
